Notes are a flexible way for tutors to document additional details about a session. Whether it’s highlighting a student’s progress, jotting down ideas for future lessons, or sharing resources, notes help you stay organized and provide a personalized learning experience.

Key features of notes

  • Add notes anytime within 12 hours of a session: The “Add note” button is available for up to 12 hours after a session ends.
  • No changes after 12 hours: Once the 12-hour window closes, the “Add note” button will disappear. A message in the Notes section will let you know that notes can no longer be added.
  • Separate from session summaries: Notes are not part of the session summary. They are stored in the “Notes” section of a class for easy access.

How to add notes

  1. Log in to your tutor dashboard.
  2. Click on the child’s name to open their profile.
  3. Navigate to the “Notes” section.
  4. Type your note and save it.

Why use notes?

  • Track progress: Record milestones, areas for improvement, and goals for upcoming sessions.
  • Plan future lessons: Jot down ideas or specific strategies tailored to each student.
  • Share resources: Attach up to 5 files to a note, such as worksheets, images, or other materials you’d like to share. This makes it easy to provide personalized resources directly in the student’s profile.

Q: What are notes?

Q: What happens to the notes after the 12-hour window?
A: Notes added during the 12-hour window will remain accessible in the “Notes” section, but you will no longer be able to add, edit, or delete them.

Q: Can families see the notes I add?
A: Yes, families will receive a notification that you have added a note. 

Q: Can I use the Notes feature to cancel a class?

A: No. The Notes feature is for personal reference only and does not officially cancel a class. Even if you let the parent know you won't be able to attend your class via notes, you still need to add your OOO time to cancel the class. Otherwise, if you don't attend, it will still count as a no-show.

  • Also, remember you can always add details of why you need to cancel the class when adding your OOO time, and we notify that to the family.

Q: What happens if the parent cancels the class via notes?

A: The Notes feature isn't for canceling or rescheduling classes; it doesn't make any updates to the class schedule. We've let families know that they can make any changes needed from their Classes Dashboard. You should always teach your classes following the schedule in your calendar. If the class is not rescheduled or canceled on your calendar, you should attend the class. Otherwise, even if the parent sends a note about canceling or rescheduling the class, it will count as a no-show.

Q: What happens if I rely on Notes instead of the official cancellation methods?
A: Classes that remain on your schedule, even if noted as canceled, will count as no-shows and impact your data snapshot.

Q: What types of files can I attach to a note?
A: You can attach common file types, including PDFs, images, and documents, as long as they meet the platform's size and format requirements.
