Substitute Tutor Program: Eligibility & Removal Guidelines

The Substitute Tutor Program allows tutors to step in when a family’s regular tutor is unavailable, helping ensure students never miss a learning opportunity. It’s a flexible way to support families, expand your reach, and build trust with new students, while maintaining high standards of quality and reliability.

Participation in the Substitute Tutor Program is optional and based on your platform performance as outlined in the Insights dashboard. Tutors must meet and maintain specific reliability and quality expectations in order to keep their status.

When you step in as a substitute tutor, you’re helping a child stay on track academically while representing Dojo Tutor’s quality standards. Substitute sessions may be scheduled in advance or offered as short-notice opportunities to fill gaps in your schedule.

How to Join the Program

To become part of the Substitute Tutor program, tutors must meet all of the following criteria.

⭐ Ratings & Experience (All Time)

  • 4.8 ⭐ or higher overall rating
  • 10 or more star ratings
  • A minimum of 30 completed sessions

⏰ Reliability (Last 100 Sessions)

  • 95% or higher on-time rate
  • 0 no-shows
  • 5% or fewer last-minute cancellations

Tutors who fulfill these requirements may be invited to join. When you qualify, you’ll receive an email invite to become a substitute and can start offering substitute classes by turning them on in your account settings.

Expectations for Substitute Tutors

Substitute tutors are expected to demonstrate the same—or higher—level of professionalism, reliability, and instructional quality as subscription tutors. This includes:

  • Arriving on time to all substitute sessions
  • Completing sessions as scheduled (no last-minute cancellations or no-shows)
  • Delivering a positive, engaging learning experience
  • Maintaining strong reliability metrics
  • Receiving generally positive feedback from families

Session Logistics & Common Questions

  • How will I know if I’ve been offered a session?
    You’ll receive an email and text alert, and the session will appear on your dashboard. Some sessions are pre-assigned, while others appear as short-notice opportunities you can claim.
  • What if a student doesn’t show up?
    If the family didn’t cancel in advance, you’ll still be paid. Stay logged in for the full session time.
  • What is the pay rate?
    You’re paid your regular class rate. Tutors are paid for active teaching time. If a session is canceled and doesn’t take place, payment does not apply.
  • What if I can’t teach a session I accepted on short notice?
    Only accept short-notice substitute sessions you can confidently facilitate. If something unavoidable comes up, cancel as early as possible following the standard process. Reliability is critical for this program.
  • What if a family wants to continue with me as their regular tutor?
    Great work! Families can email us at tutoring-support@classdojo.com requesting to continue with you as their subscription tutor. Our team will be happy to assist them with the transition— no extra action is required on your end.

Reasons for Removal from the Program

A tutor may be removed from the Substitute Tutor Program if they no longer meet the required standards. Removal may occur automatically and can include, but is not limited to:

🔹 Reliability Issues

Including:

  • No-shows
  • Frequent late arrivals
  • Last-minute cancellations

🔹 Quality Concerns

Including:

  • Inconsistent instructional quality
  • Failing to teach a full session
  • Misuse of class time on irrelevant subjects
  • Minimal student engagement or interaction

🔹 Family Feedback

  • Repeated negative reviews or reports related to substitute sessions

What Happens If You’re Removed

  • Removal from the Substitute Tutor Program does not affect your ability to teach your existing subscription students
  • You may continue tutoring on the platform as usual outside of substitute sessions
  • Removal decisions are not subject to appeal. Please be sure to review your metrics in your Insights Dashboard!

Can I Rejoin the Program?

Eligibility for rejoining the Substitute Tutor Program may be reviewed in the future based on performance improvements and platform needs. Re-entry is not guaranteed.
