We’re introducing a new approach to support new tutors as they get the hang of our system and help all our tutors stay on top of their schedules. This system is designed to offer you greater flexibility while maintaining a smooth and reliable experience for students. If you're part of this program, you’ll now be required to confirm trials scheduled for the next 2 days.
This program will be optional for most of our tutors. It will be required for new tutors in their first weeks with Dojo Tutor and for tutors who have missed a class in the past few months. We'll invite our tutors to opt out based on their attendance records once a month.
Here’s what you need to know about this process
- Notifications: You’ll receive texts and emails every time you have a new class scheduled in the next 24 to 48 hours.
- Accessing your dashboard: Click the link in the message to open your trial class confirmation dashboard. This is a new dashboard separate from your current Dojo Tutor dashboard.
- Confirming availability: Select each class to confirm whether you can facilitate it or not.
- Declined trials: Trials you decline will be removed from your standard Dojo Tutor dashboard as soon as we can. You will not be responsible for facilitating a trial class you’ve already declined.
- Stay updated: Always refresh your trial class confirmation dashboard before responding to ensure you have the latest information.
Frequently Asked Questions
Q: What times should I expect my texts/emails?
A: The times vary depending on when a parent books the class and the class time they select. However, we’ll have silent hours between 00:00 and 06:00 am in your local time.
Q: How many reminders will I receive to confirm a class?
A: You can receive up to 2 notifications for each trial you get assigned.
Q: What happens if I don’t answer or decline the trial class?
A: We will assign another tutor to the session, and you will not be compensated for the session.
Q: Who gets assigned to the child if a substitute does the trial and the family subscribes?
A: The substitute will facilitate all recurring classes moving forward for this student.
Q: If I decline a trial class, does it affect my reliability score?
A: Yes, since you're canceling that trial class, it will count. To keep your cancellation rate low, we suggest you add OOO time in your Tutor Portal as soon as you know you’ll be unavailable. This way, we won’t schedule trials during that time.
Q: Why didn’t my trial class confirmation dashboard update?
A: It can take some time to update. Please refresh your trial class confirmation dashboard for the latest information.
Q: What if I have a subscriber at the time I’m being asked to do a trial?
A: Your subscriber class will always take priority.
Q: How long do I have to confirm my availability for a trial class?
A: We ask you to confirm as soon as possible. You'll usually have 8 hours to confirm.
- If we notify you about the new trial between 6:00 pm and 8:00 pm your local time, we'll give you until 6:00 am the next day to confirm the class.
- If we notify you about the new trial after 8:00 pm your local time, we'll give you until 10:00 am the next day to confirm the class.
Q: Why is the trial class I declined still on my Dojo Tutor dashboard?
A: It may take us some hours to find another tutor to facilitate that class. However, you should not see the declined trial in your schedule on the same day as the class. If it is, please email us at tutoring-support@classdojo.com so we can support you ASAP.
Q: What happens if I reply late for trial classes I could have done?
A: The class may already be assigned to another tutor. Please try to reply as quickly as possible.
Q: Can I opt out of this process?
A: Yes! Our tutors can opt out based on their attendance records. So, you are able to opt out if you've received information from your recent Data Snapshot and have attended all your classes since.
