Some tutors can now add their Dojo Tutor teaching schedule to the calendar app they already use, like Google Calendar, Apple Calendar, Outlook, or another app that supports calendar subscriptions.
Once added, a new calendar called Dojo Tutor will appear alongside your other calendars. Your upcoming classes will show there automatically, including trial classes, recurring 1:1 classes, and group classes.
This is a helpful way to keep your teaching schedule visible in one place, especially if you already rely on your personal calendar to plan your day.
This feature is currently being tested with a group of tutors, so it may not be available to everyone just yet. If you have access, you’ll see an Add to calendar option in your Account settings.
Before you use the Calendar export
Calendar export is a one-way calendar subscription. This means your personal calendar app checks Dojo Tutor for updates on its own schedule.
Because of this, updates are not instant.
A class that is booked, rescheduled, or canceled today may not appear correctly in your personal calendar right away. Some calendar apps refresh quickly, while others can take several hours. Google Calendar may take up to a day to show new or changed classes.
For the most accurate schedule, always check:
- Your Dojo Tutor dashboard
- Dojo Tutor email or text notifications
- Any in-product schedule updates
Your personal calendar is a helpful mirror of your teaching schedule, but your Dojo Tutor dashboard is always the source of truth.
What Calendar export shows
Your Dojo Tutor calendar can include:
- Your scheduled classes for the next few weeks
- Recent past classes from roughly the last month
- Trial classes
- 1:1 subscription classes
- Group classes
How it works
When you add your Dojo Tutor calendar, we create a private calendar subscription link for your account.
Your calendar app uses that link to check for updates to your Dojo Tutor schedule. When your calendar app refreshes, it can show newly booked classes, move rescheduled classes, and remove canceled classes.
Your Dojo Tutor calendar includes:
- Your scheduled classes for the next few weeks
- Recent past classes from roughly the last month
- Trial classes
- 1:1 subscription classes
- Group classes
For group classes, each group class appears as one calendar event, no matter how many students are enrolled.
Each calendar event links back to your Dojo Tutor dashboard. You’ll still join classes, review notes, and manage your schedule directly from Dojo Tutor.
Add your Dojo Tutor calendar
- Go to your Account settings from your profile menu.
- Find the Add to calendar section.
- Select Add to calendar.
- Choose how you’d like to add your calendar.
You’ll see a few options:
- Google Calendar
This opens Google Calendar with your Dojo Tutor calendar ready to add. - Apple Calendar
This opens the calendar subscription prompt on your iPhone or Mac. - Copy link
This copies your calendar subscription link so you can paste it into Outlook or another calendar app. Look for an option like Subscribe from URL, Add calendar from internet, or Add subscribed calendar.
Once you add it, your Dojo Tutor calendar will automatically sync based on your calendar app’s refresh schedule.
Important: your link is shown once
For privacy and security, your calendar subscription link is only shown when it is created.
If you close the window or lose the link, we can’t show the same link again. You can always generate a new one, but doing so will turn off the previous link.
That means if you had already added the old link to Google Calendar, Apple Calendar, Outlook, or another app, you’ll need to add/update the new link there again.
Calendar updates are not instant
Your Dojo Tutor dashboard is always the most up-to-date place to check your schedule.
Your personal calendar app updates on its own schedule. Some apps refresh quickly, while others can take longer. For example, Google Calendar may take up to a day to show new or changed classes. Apple Calendar allows you to set a refresh cadence-- as frequently as every 5 minutes.
This means a class that was booked, rescheduled, or canceled today may not appear correctly in your personal calendar right away.
For same-day updates, always rely on:
- Your Dojo Tutor dashboard
- Dojo Tutor email or text notifications
- Any in-product schedule updates
Your personal calendar is a helpful mirror of your schedule, but it should not replace your Dojo Tutor dashboard.
What you can and can’t do from your calendar app
Your Dojo Tutor calendar is read-only.
You can use it to view your teaching schedule, but you can’t use your personal calendar app to:
- Cancel a class
- Reschedule a class
- Decline a class
- Edit class details
- Join a class directly from the calendar event
To manage or join a class, click the event and go to your Dojo Tutor dashboard.
Keep your calendar link private
Your calendar subscription link is private to your account.
Anyone with the link can see basic details from your teaching schedule, such as class times and students' first names. The calendar does not include payment information or direct class-join links.
If you accidentally share your link, generate a new one from your Account settings. This will stop the old link from working right away.
Reset your calendar connection
You may need to reset your calendar connection if:
- You lost your calendar link
- You want to add your schedule to a different calendar app
- You accidentally shared your calendar link
- Your calendar connection needs to be refreshed
To reset your connection:
- Go to your Account settings.
- Find the Calendar export section.
- Select Reset connection.
- Follow the steps to add the new calendar link to your calendar app.
When you generate a new link, your old link stops working. Any calendar app using the old link will no longer receive updates.
Turn off your calendar link
You can disable your calendar link at any time.
To turn it off:
- Go to your Account settings.
- Find the Add to calendar section.
- Select Disable existing links.
- Confirm your choice.
Your link will stop working right away.
You’ll also need to remove the Dojo Tutor calendar from your personal calendar app. Disabling the link stops future updates, but it does not automatically remove the calendar from Google Calendar, Apple Calendar, Outlook, or any other app where you added it.
