Availability: Schedule Management

Dojo Tutor offers flexible scheduling that works for both families and tutors. You set your availability based on your life, keeping a healthy balance between work and personal time. Families book sessions during your available hours, ensuring a routine that works for everyone.

✨ What's new?

Previously, availability changes took effect immediately, which meant:

  • Families and tutors had little time to adjust

  • Tutors couldn’t plan for future changes (like a new school schedule) without disrupting existing class schedules

Now, you can set your availability changes to start at least 7 days in advance, or any date in the future. This will:

  • Gives families time to adjust, as they will be notified early about the upcoming change

  • Saves you from juggling timing or forgetting to make changes later

  • Keeps everyone’s schedules running smoothly

Want to Add Tutoring Hours?

You can definitely still do that! 🙌 Add new tutoring slots anytime to open yourself up for more enrollments. New slots take effect immediately, so families can start booking them right away.

Note: This applies only to adding new times. Removing or changing existing slots will still follow the regular effective date rules

📆 How does it work?

  • Log in to your Dojo Tutor dashboard
  • Go to your profile
  • Click "Availability"
  • Click the edit button (pencil icon) to plug in your new schedule
  • Choose the start date for the changes (minimum 7 days out)
  • Don't forget to click Save to lock in your future schedule

📝 A few things to keep in mind

When you update your availability, your students’ families will be prompted to adjust their class schedules to align with your new hours. Here’s how to make this transition smooth for everyone:

  • Communicate early: Give families a heads-up before making changes. Chat live with families in your class or use the notes feature to coordinate a new day and time that works for both of you
  • Collaborate on rescheduling: Work with families to ensure the new schedule meets their needs. This collaborative approach builds trust and minimizes disruptions
  • Share resources or get instant help: You can share these help center articles with families to guide them through rescheduling a class or updating their weekly class schedule. Prefer a faster option? Families can also log into their account and chat with our AI assistant to make changes right away.
  • Transparency: Always share the exact date your new schedule starts so families know exactly how much time they have to prepare and adjust.

Tips for Creating a Flexible, Reliable, and Sustainable Tutoring Schedule

  • Spread your hours across 2–3 days per week: Offering a variety of options gives families more flexibility when choosing a time that works for them.
  • Focus on peak times: Aim to add availability during high-demand hours when families are most likely to book trial classes.
  • Commit to consistency: Avoid adding time slots on days you can’t consistently honor.
    • Example: If your child has baseball every other Saturday, it’s best not to include Saturdays in your schedule. Families looking for a regular session may have a frustrating experience if you’re only available sporadically.
    • Example: If you have bus duty after school on Tuesdays and sometimes arrive home late, be sure to schedule tutoring sessions with enough buffer time to accommodate delays.
  • Be realistic to avoid burnout: It’s important to pace yourself. Don’t overload your schedule. Leave room for breaks between sessions to recharge and stay energized.
    • Tip: Build your schedule around your life, not the other way around. This ensures you stay refreshed and deliver your best to every family

Important: Classes canceled and rescheduled due to availability changes will still count as cancellations. Plan carefully to minimize impact on your reliability metrics.

Q: How do I plan a change to my schedule for the future?

A: Clicking on the pencil icon in your “Current schedule” will allow you to make changes to your weekly schedule. You can add or remove availability as well as set a date when you want the schedule change to go into effect.

Q: When will my schedule change take effect?

A: It will go into effect on the date you set when making changes to your weekly schedule. The start date must be at least 7 days in the future to give families time to find availability within your new schedule.

Q: What if I just want to add a new schedule to get more enrollments—do I still need to wait 7 days?

A: Nope! 🎉 You can add new tutoring slots anytime—even for the very next day—and they’ll take effect immediately. No need to wait 7 days.

Q: What if I’m not available to teach in the next 7 days?

A: If you need time off before your new schedule takes effect, add those dates as Out of Office. Otherwise, you’re expected to teach your regular classes until the new schedule begins.

Q: Is there a minimum number of hours required?

A: Yes, tutors are required to offer at least 5 hours of availability per week.

Q: Can I have multiple schedule changes?

A: Yes, you can have as many schedule changes as you want, but they must be at least 7 days apart. We strongly recommend limiting the number of schedule changes you have, as they can result in subscribers having to cancel classes because they don’t match your schedule.

Q: What happens to students whose classes no longer fit into my new schedule?

A: They will be given advanced notice that your schedule is changing and will be able to update their schedule to match yours. If they are unable to change their schedule before your change goes into effect, the student will be assigned a substitute until they update their schedule.

Q: How do I set any “Out of office” time?

A: Click on the purple “Out of office” button to create new Out of office periods.

Q: What are peak tutoring hours?

A: Peak hours are times when families are most likely to book trial classes, such as late afternoons, evenings, and weekends. Adding availability during these times can increase your chances of getting bookings. Here's a quick guide to our Hot Times.
