Reliability: Enhanced trial system

We're testing a new approach to managing trial classes that gives you more control over your schedule upfront, without a separate confirmation step.

Some tutors will be randomly selected for this test over the coming weeks. If you're among them, we'll reach out before anything changes for you. This article covers what the new system looks like and what to expect.

What's changing

Today, each trial class requires you to confirm or decline it through a separate confirmation dashboard.

We're testing a new system where trials no longer require that additional layer of confirmation. Since families already book within your stated availability, every trial that lands on your calendar is one you're set up to teach. No extra step needed.

Instead, we're introducing a set of tools to help you manage your schedule proactively, so trials run smoothly for you and the families counting on you.

What's new

Set your trial advance notice

You'll be able to choose how far in advance families can book a trial with you. Options will range from 2 to 72 hours. You'll be able to update this anytime in your Account Settings, under "Trial advance notice." Changes apply to future bookings only.

Can't make a trial?

If something comes up, you'll be able to let us know directly from the bottom of the class details in your dashboard. Just click "I can't make it" and confirm — we'll take care of the rest.

Enhanced notifications

We're improving how we keep you in the loop on trial classes. You'll get notified when:

  • A new trial is booked with you
  • An existing trial is rescheduled

Additionally, these notifications will apply to all your classes, including trials:

  • 8 PM on the 2 evenings before your classes
  • 2 hours before your first class of the day
  • 25 minutes before the class starts
  • 5 minutes before the class starts

Managing your availability

Since families will book trials within the times you've marked as available, keeping your availability and OOO up to date is the most important thing you can do. The more you plan, the better!

  • Set your weekly availability here
    • You can plan for your availability changes and set them to schedule on a certain day.
  • If you know you'll be unavailable, add your Out of Office time in your Availability tab as soon as possible. 
    • CX will not process Out of Office requests or manually record reports that you cannot make it to class. All OOO updates must be submitted through your Dashboard, including in last-minute situations.

FAQs

Q: Will I need to confirm my trial classes?

AL Not if you're part of this test. Trials will be automatically confirmed once booked — no action needed on your end.

Q: How will I know if I'm selected to be part of the test?

A: We'll send you an email before anything changes for you. You won't be switched over without prior notice. However, there is no opting out if you're selected. 

Q: What if I'm not available for a trial that gets booked?

A: Add Out of Office (OOO) time in your Availability tab to cancel the class. The sooner you do this, the better for the family involved.

Q: How do I set my advance notice preference?

A: You'll find the "Trial advance notice" setting in your Account Settings, under Availability settings. Changes apply to trials booked after the update, not to ones already on your calendar.

Q: What if I miss a trial class?

A: Missed classes are recorded as no-shows and affect your reliability metrics. If you have a conflict, always update your OOO in advance so families can be reassigned in time.

Q: What's the best way to stay on top of my schedule?

A: Your most up-to-date schedule will always be available at your Calendar tab, in your Tutor Dashboard. We'll also send notifications for your classes.
